Women’s Business Network Board Members

About the WBN Board

All of our board members work hard at keeping things running smoothly and making sure the organization offers a variety of programs and events for members to enjoy. These are volunteer positions and there is no monetary compensation for their contributions to the group. Board meetings are held on the third Tuesday of each month from 12:00-1:30pm. Bring your lunch. Meetings are open to all interested members. Contact us for directions and parking information.

 

Position Descriptions

President

  • Plan agenda/consent agenda for monthly board meetings; type and mail/email to secretary and other board members

  • Prepare/chair board meeting; prepare President’s agenda

  • Preside over general meeting

  • Meet with other board members as needed

  • Write monthly newsletter article

  • Ex-officio member of committees except Nominating

  • Spokesperson for WBN

  • Respond to public requests for information; liaison to other groups

  • Supervise financial affairs

  • Oversee WBN correspondence

Vice President

  • Perform duties of President in President's absence

  • Perform duties assigned by board

  • Act as Parliamentarian

  • Maintain and update bylaws as needed

  • Chair Nominating Committee (With president, evaluate director positions to be filled. Recruit and slate board members. Prepare written list of nominations for the annual membership meeting. Provide written notice in newsletter of upcoming election, noting date, time and place of meeting. Prepare ballot for membership. Tally ballots.)

  • Chair Business Development Committee (Coordinate raffle prize donations, ticket sales, raffle event. Provide newsletter editor with monthly article to acknowledge donors and solicit participation. Report to board income, problems, ideas. Call and facilitate committee meetings as needed.)

  • Coordinate and oversee that the website is maintained and contained current information

  • Work with the web site programmers to change or add features to the site as directed by the board. Maintain positive working relationship with them and be the board’s liaison to them. Confer on issues of payment and invoices and attend appropriate meetings regarding website operation and maintenance

  • Help members with questions or issues pertaining to the website

  • Maintain domain registration record, bill for renewal when appropriate

  • Work with Membership Chair to ensure the membership directory online is accessible and fully functional

  • Maintain passwords and other security information pertaining to the website in a secure location

Secretary

  • Keep minutes of board meetings. Send minutes to board one week before board meeting by mail, fax or email

  • Keep minutes of general membership meetings

  • See that all notices are given in a timely manner in accordance with bylaws

  • Be custodian of corporate records

  • Keep a register of the mailing addresses of each member

  • Perform duties assigned by the president or board

  • Ensure that all required state and federal reports are prepared and filed in a timely fashion

Treasurer

  • Have charge of, custody of, and be responsible for funds of WBN

  • Receive money and give receipts

  • Deposit money within 3 days of receipt

  • Oversee and conduct financial transactions for WBN; balance checkbook, pay bills; prepare financial statements. Bring financial statements to each board meeting

  • File state and federal reports with regard to income and disbursements of WBN

  • Prepare annual budget

  • Manage and coordinate taking of money at general meeting. Reconcile; pay for luncheon

  • Track general meeting attendance

  • Pick up mail at post office

Past President

  • Support president as needed

  • Act as historian for Board

  • Perform duties as needed

  • Chair Audit Team (With at least one other board member (not including Treasurer) review financial reports and transactions, report results to the board and membership

  • Maintain scrapbook of member business cards, event photos, press releases of members.)

  • Chair Woman of the Year Committee (Contact past Women of the Year who are still members and set up meeting to review nominations. Provide written notice in newsletter for nominations, noting where to mail or email nominations. Prepare announcement after the committee meets to announce Woman of the Year at the annual meeting. Order annual plaque for Woman of the Year and Outgoing President)

Membership Chair

  • Field telephone calls from prospective members

  • Update, print application forms

  • Mail brochure and application on request

  • Input basic member data to database

  • Present monthly list of new members to the board

  • Prepare and mail dues renewal letters

  • Process renewal applications; make necessary changes to database

  • Prepare mailing labels for newsletter editor or upon request for other board members

Programs Chair

  • Arrange for programs/speakers each month covering topics pertaining to the WBN mission statement. January-October, December

  • Prepare written summary of topic and speakers for the newsletter editor and public relations chair for at least two months in advance each month

  • Introduce and coordinate the programs each month except for annual meeting

  • Report to board concerning upcoming programs and scheduled speakers

  • Transport, set up, disassemble and store sound system.  Monitor equipment for maintenance/repair as needed

  • Coordinate and work with Special Events Chair to plan, develop and actualize annual Trade Show

Arrangements Chair

  • Arrange room set-up for general meeting

  • Space arrangements (estimate number attending)

  • Menu planning where necessary

  • Liaison to meeting location staff

  • Report to board as needed

  • Take headcount at monthly meeting, match to event billing

  • Provide meeting bill to Treasurer for payment

Public Relations Chair

  • Prepare news releases of upcoming meetings, special events, incoming Presidential announcement and Woman of the Year announcement in a timely fashion to newspapers and radio stations as stipulated by the board

Networking Chair

  • Shuttle business cards of members; WBN applications and other WBN related brochures to each general membership meeting

  • Alphabetize business cards; maintain up-to-date display

  • Set-up; tear down table at general meetings

  • Arrange networking table and display

  • Store table items

Special Events Chair

  • Coordinate annual meeting

  • Coordinate with Vice President for the Woman of the Year announcement

  • Plan menu, entertainment, budget, door prizes and all other items pertinent to the annual meeting

  • Report to board as needed

  • Plan, develop and implement production of annual Trade Show in coordination with Programs Chair

Greeter Chair

  • Recruit, coordinate and supervise greeters at general meeting

  • Maintain member name tags

  • Coordinate networking basket each general meeting

  • Report to board as needed

  • Hospitality; help guests by introducing them to members, finding them a seat, etc.

Donna Freshman Artemis Award Chair

  • Chair a committee of long-time members to meet up to four times per year

  • Organize/arrange meetings and/or input; determine qualifications of nominees

  • Chairperson present award at a membership meeting. Assure that the plaque is displayed at each membership meeting

  • Oversee collection of nominations throughout the year by announcing at meetings and in newsletter, providing nomination forms and drop location at each meeting, collecting nominations via website, emails, etc.

Newsletter Editor

  • Prepare and email newsletter by the first of every month

  • Coordinate information from committee and event chairs as needed

  • Attend board meeting, add board requested announcements to upcoming newsletter

  • Send out via email announcements periodically to update the membership on time-sensitive news/reminders
